To start the application process to become a Royal Mail Sameday Licensed driver, we ask you to read and make sure you have understood all the information on this page. You will find all the details you need to know about the opportunity to join our fleet of owner drivers throughout the country.

As you read through it you will notice there are check boxes to confirm you have read each part as you progress though the information. You will need to ‘check’ all of the boxes before the site will allow you to proceed to the application form.

The application form is completed whilst you are online, but once completed you must click ‘process and print’ for it to print correctly. Sign the printed application form and send it to us with the documents requested. (Before you start. please make sure you are able to print from the computer you are presently working on.)

Owner-driver couriers to service sameday courier work generated by our Royal Mail Franchisees and National Sales Team.

Royal Mail Sameday are seeking a special type of person, who can recognise the importance of good customer service and has a smart and presentable appearance. Our licensed courier owner-drivers are our business partners; we want you to be the best in the industry.

We provide a high quality technology based service to our customers. If you understand the importance of working with us to achieve this, then you are the type of courier we want in our team.

Vans

All of our drivers are required to have a van, which must have barn-opening doors at the rear. Lift up tailgates are not acceptable on vans as forklifts cannot load them.

However, in some areas we will consider MPV’s and Estate Cars. Please call 0870 609 3051 or email recruitment@royalmailsameday.com to confirm if an MPV or Estate car is acceptable in your area – we need your postcode and make/model of vehicle. MPV’s and Cars will only be offered small package/envelope work and still need to be insured for courier work (see minimum insurances later in presentation)

How we work

xda used for navigation and tracking
The XDA / PDA is used for navigation and tracking. It also acts as interface between ourselves and you, sending you work whilst on the road, NO Phone call needed.

Drivers use our ‘Supa–Trak’ system and Tom-Tom satellite navigation hosted onto a PDA handset, which we rent to all our drivers. All drivers are required to log onto our system daily so that our servers are able to track and identify your exact location, and offer any available jobs to the nearest driver. Job details are automatically sent to the drivers via their on-board PDA.

The driver confirms the job, and the acceptance is sent back to the customer via the handset systems within seconds. Satellite navigation (if purchased) then directs the driver to the collection and delivery address via the quickest route. The PDA is also used for Proof of Delivery (POD) signature, which is then automatically sent to the booking client via email.

The Driver Packages

We offer two options for drivers, both provide vehicle tracking and the software necessary to accept jobs and obtain POD signatures.

Package 1 - if you have a PDA (which should also have GPS application) that is running Windows Mobile 5.0 or higher you can install our ‘Supa-trak’ application on your own handset. We will provide you with the application and installation instructions. The installation process is straight forward and should only take a few minutes. The cost of this package is £15+vat per month. Any calls made on the PDA are extra and charged at cost.

Package 2 - If you require us to provide a PDA handset, then we will supply you with a suitable handset pre installed with our application. The cost of this package is £25+vat per month. Any calls made on the PDA are extra and charged at cost.

Through the application drivers receive all job notifications and obtain proof of delivery signatures. All this comes to you via our ‘Supa-trak’ software.

The PDA supplied by Royal Mail Sameday can have Tom-Tom satellite navigation installed, which together with the ‘Supa-trak’ software allows instant route planning to the collection and delivery point. Should you require Tom – Tom then there is a one off payment for this.

Rental for either package is paid to us by monthly standing order.

Licence Fee - A licence fee of £25 + VAT is payable by all drivers, this covers the issue of your Royal Mail Sameday Identification badge and is renewable every two years.

Deposit

Package 1 - A refundable deposit of £100 is required against the ‘Supa-trak’ application

Package 2 – A refundable deposit of £250 is required against the PDA handset and ‘Supa-trak’ application.

Mileage Rates and Out Of Hours Rates.
Payment is made from the point of collection to the point of delivery. Out of hours rate is paid where the job requires collection or delivery out of our normal hours of 7am– 6pm.

Weekend and Bank Holidays
Weekend rates are paid from 6pm Friday to 8am Monday and Bank Holidays rates are paid for work done on any Bank Holiday.

Waiting Time
15 minutes is built into every job for waiting for the consignee to meet you and sign for the package. If the waiting time is expected to exceed 15 minutes, drivers must contact our control room and advise that they will be exceeding the allotted 15 minutes. Control will then issue a reference number for the waiting time. When the POD signature is obtained from the recipient, the waiting time must be entered and signed for by the recipient at the same time. Waiting time is then paid at: MPV, Estate car and Small Van £8 per hour, SWB £12 per hour, LWB £16 per hour and EX LWB at £20 per hour, and is payable per minute for the full authorised waiting time.

Wait & Return Loads -
A re paid at the following rates - outbound from collection to delivery will get the full vehicle rate; return from delivery back to the original collection point is paid at 50% of the vehicle rate. Waiting time will be paid as above.

How We Pay You
We Self Bill - which means that we send you a statement detailing all deliveries done during the month; payment is then made by BACS and is paid into your bank account on the 20th of the following month.

Insurance Minimum Standards – for all vehicles; Vans, Cars & MPV
You must have courier insurance (to cover your Van or car/MPV),which includes ‘the carriage of goods for hire and reward’, Goods in Transit cover to a minimum of £20,000, and £2,000,000 Courier Public Liability Cover. If you already have insurance at a lower rate you will need to increase this to our minimum standards.

How to Apply
Click below on the ‘continue to application form’ button below, and complete the application form in full. Click ‘register & print’ and then sign and return this form with the following documents to Driver Recruitment at the address on the application form:-

2 x Passport Photographs for ID Card
2 x Utility Bills showing current address
A photocopy of the Photo page of your passport
Photocopy of your driving licence – both parts for the new style photo licences.
A cheque for £250.00 or £100.00 deposit (depending on the option taken) payable to RMCS Ltd

Upon receipt of your application we send you a Licence starter pack, this will include your licence agreement, standing order mandate and a Royal Mail vetting form: these should be completed and returned to us immediately. Royal Mail vetting takes 14 days and until it is complete you cannot start work as a Royal Mail Sameday courier.

In the in the event of you not being cleared through the Royal Mail Vetting procedure, you will be notified immediately by Driver Recruitment and all monies refunded to you. (Please note that due to the Data Protection Act, we will not be informed as to the reason why you have been declined clearance.)

You cannot start as a Royal Mail Sameday courier until all documentation has been completed and returned to Royal Mail Sameday along with the proof of identity requested and Royal Mail vetting has been completed.
